Email Sequencing in ATZ CRM
Sequences let you automate a series of email follow-ups and internal tasks for candidates or contacts — continuing until a recipient replies. It’s a powerful way to streamline communication and reduce manual work.
? Note: This feature is part of the Business Plan. Users on the Free or Pro plan can create 1 sequence only. Sequence creation is limited to account owners, admins, or users with custom roles that have access.
What Can You Do with Sequences?
Section titled “What Can You Do with Sequences?”- Send a scheduled series of email templates to candidates or contacts.
- Combine email steps and task steps into one automated sequence.
- Automatically stop the sequence once a recipient responds to any email.
How to Create a Sequence
Section titled “How to Create a Sequence”1. Navigate to:

2. Click “Create Sequence”
Section titled “2. Click “Create Sequence””3. Choose Your Audience:
Section titled “3. Choose Your Audience:”Select whether you’re targeting Candidates or Contacts.

4. Name Your Sequence & Add a Step:
Section titled “4. Name Your Sequence & Add a Step:”- Choose between a task or an email step.
- Pick from existing email templates or create a new one for the sequence.

5. Schedule the Step:
Section titled “5. Schedule the Step:”- Set the number of days after the sequence starts when the step should trigger.
- Example:
- Start Date: January 1
- Send Email In: 2 days
- Send Date: January 3

You can also set “Send Email In” to 0 — this means the first email/task goes out on the same day the sequence starts.
6. (Optional) Restrict Steps to Business Days
Section titled “6. (Optional) Restrict Steps to Business Days”Toggle this option to send emails and create tasks only on weekdays.

7. Add an Unsubscribe Link (Optional)
Section titled “7. Add an Unsubscribe Link (Optional)”When creating an email step, you can include an opt-out/unsubscribe link to comply with best practices.
8. Build Out Your Sequence:
Section titled “8. Build Out Your Sequence:”- Add up to 20 steps (max 10 emails and 10 tasks ).
- Use drag-and-drop to reorder steps easily.
9. Timing Each Step:
Section titled “9. Timing Each Step:”- Steps can be scheduled between Day 0 to Day 250.
- Tasks can also be scheduled on Day 0.
- Make sure steps don’t overlap in timing to maintain smooth flow.
Enrolling or Unenrolling Records

Email Signature in Sequences
Section titled “Email Signature in Sequences”The email signature used in your sequences will automatically match the one configured in your regular email settings.
If you’ve set up a signature under Email Signature Settings, it will also be included in all emails sent through your sequences — ensuring consistency across all communications.
? FAQs on Email Sequences
1. What are the time slots for sending sequence emails?
Section titled “1. What are the time slots for sending sequence emails?”Emails within a sequence are sent in 30-minute intervals — e.g., 9:00 AM, 9:30 AM, and so on.
The exact send time is based on the timezone of the user who enrolled the contact in the sequence.
✅ To check or update your timezone, visit your User Profile Settings.
2. How many prospects can be enrolled in a sequence at once?
Section titled “2. How many prospects can be enrolled in a sequence at once?”Each user can enroll up to 500 prospects into a sequence at a time.
This total is per user, not per account.
3. Is there a limit to how many contacts/candidates a user can enroll in sequences?
Section titled “3. Is there a limit to how many contacts/candidates a user can enroll in sequences?”Yes. A single user can have a maximum of 500 active and/or paused enrollments across all sequences.
Once this limit is reached, no additional records can be enrolled until:
- A sequence completes,
- Or some contacts/candidates are manually unenrolled.
4. How many steps can be added to a single sequence?
Section titled “4. How many steps can be added to a single sequence?”Each sequence can include up to 20 steps, with:
- A maximum of 10 email steps
- And 10 task steps
? You can reorder steps easily using drag-and-drop.
5. What happens if a running sequence is edited?
Section titled “5. What happens if a running sequence is edited?”Any edits to a sequence will only apply to new enrollments made after the changes are saved. Existing enrollments will not be affected.
6. How many sequences can be created per account?
Section titled “6. How many sequences can be created per account?”- Business Plan: Up to 1000 sequences can be created.
- Pro Plan: Limited to 1 active sequence for testing purposes.
7. When is a prospect unenrolled from a sequence?
Section titled “7. When is a prospect unenrolled from a sequence?”A prospect is automatically unenrolled when:
- They reply to an email in the sequence.
- They opt out using the unsubscribe link.
- You manually unenroll them.
8. Can a contact/candidate be added to multiple sequences?
Section titled “8. Can a contact/candidate be added to multiple sequences?”❌ No. A candidate or contact can only be part of one sequence at a time.
9. Is there a delay between emails being sent in a sequence?
Section titled “9. Is there a delay between emails being sent in a sequence?”Yes, to avoid email throttling, there is a built-in 3–5 second delay between sending each email in a sequence.
10. How can I add and resize an image in my email signature?
Section titled “10. How can I add and resize an image in my email signature?”- Go to Email Signature Settings.
- Click on “Insert Image” to upload your image.
- To resize, simply click on the image and drag the bottom-right corner.
