Using Off Limits in ATZ CRM
Off Limits helps your team protect sensitive candidates, contacts, and companies from accidental outreach or restricted recruiting activity.
Use Off Limits when a record should remain visible in ATZ CRM, but should not be contacted, pitched, submitted, enrolled in sequences, or handled like a normal active record without review.
Common examples include client non-poach agreements, placed candidate cool-off periods, strategic partner restrictions, legal or compliance rules, blacklisted records, and sensitive executive search situations.
Who Can Use Off Limits?
Section titled “Who Can Use Off Limits?”Off Limits is available on the Business and Enterprise plans.
Users on other plans can view Off Limit settings and understand the feature, but cannot mark, modify, or remove Off Limit records.
Only Admin users can configure Off Limit settings, create statuses, mark records Off Limit, modify Off Limit details, or remove Off Limit restrictions.
What Can Be Marked Off Limit?
Section titled “What Can Be Marked Off Limit?”You can mark these records Off Limit:
- Candidates
- Contacts
- Companies
When a record is Off Limit, ATZ CRM shows a clear Off Limit indicator on the record profile and list pages. The record name/avatar also shows a colored border based on the selected Off Limit status.
Off Limit Statuses
Section titled “Off Limit Statuses”Admins can create custom Off Limit statuses from Admin Settings > Off Limit Settings.
Examples:
- Non-Poach
- Client Protection
- Post-Placement Cool-Off
- Legal Restriction
- Blacklisted
- Unavailable
Each status can have its own name, description, and color. The color is used on badges, avatar borders, and list indicators so recruiters can quickly understand the type of restriction.
How to Mark a Record Off Limit
Section titled “How to Mark a Record Off Limit”Open a candidate, contact, or company profile.
Click the actions menu, then select Mark Off Limit.
In the dialog, choose:
- Off Limit Status
- Reason
- Notes
- Expiry date, if the restriction should end automatically
You can use quick expiry options such as 30 Days, 60 Days, or 90 Days, or select a custom date.
Click Mark Off Limit to save.
Marking Records in Bulk
Section titled “Marking Records in Bulk”You can also mark multiple records Off Limit from list pages.
Select the records, choose the Off Limit bulk action, select the status/reason/expiry, and confirm.
Bulk actions are useful when applying a policy to many records at once, such as imported restricted candidates or a list of protected contacts.
Marking a Company Off Limit
Section titled “Marking a Company Off Limit”When a company is marked Off Limit, Admin settings control whether related candidates and contacts should also become Off Limit.
If Apply company restrictions to contacts is enabled, contacts linked to that company are marked Off Limit automatically.
If Apply company restrictions to candidates is enabled, candidates whose current company matches the Off Limit company are marked Off Limit automatically.
This helps teams avoid accidentally contacting people connected to protected clients or restricted companies.
Domain Rules
Section titled “Domain Rules”Admins can add restricted domains in Admin Settings > Off Limit Settings.
For example, adding acme.com can automatically mark candidates and contacts with email addresses like:
When a new domain rule is added, ATZ CRM also checks existing candidates and contacts and marks matching records Off Limit.
This is useful when company names vary but email domains are reliable.
Where You Can See Off Limit Records
Section titled “Where You Can See Off Limit Records”Off Limit records are visible in:
- Candidate list
- Contact list
- Company list
- Candidate profile
- Contact profile
- Company profile
- Off Limit filtered list views
- Advanced Search
In Advanced Search, you can filter by Off Limit status, Off Limit source, reason, notes, and expiry date.
Off Limit History
Section titled “Off Limit History”Each Off Limit record has a history log.
The history shows:
- What action was performed
- Who performed the action
- When the action was performed
- Previous and updated values where applicable
- Notes or reason changes
For candidates, Off Limit History appears inside the candidate History area. For contacts and companies, it appears as an Off Limit History tab on the detail page.
This gives Admins and managers a full audit trail.
Modifying Off Limit Details
Section titled “Modifying Off Limit Details”Admins can update an active Off Limit record by clicking Modify from the Off Limit panel.
You can change the status, reason, notes, or expiry date.
The record remains Off Limit, and the update is captured in history.
Removing Off Limit
Section titled “Removing Off Limit”Admins can remove Off Limit from a record when the restriction no longer applies.
Click Remove from the Off Limit panel and add a removal note.
The record becomes available again, but the previous Off Limit history remains available for audit purposes.
What Happens When a User Tries a Restricted Action?
Section titled “What Happens When a User Tries a Restricted Action?”When a user tries to perform a risky action on an Off Limit record, ATZ CRM checks the restriction.
Restricted actions can include outreach, email, SMS, WhatsApp, sequence enrollment, pitching, candidate assignment, or similar recruiting workflows.
Depending on your account settings, ATZ CRM may block the action or show an override warning.
Best Practices
Section titled “Best Practices”Create clear statuses so recruiters understand why a record is restricted.
Use expiry dates for temporary restrictions like placement cool-off periods.
Use domain rules for client companies where employees should not be contacted.
Review Off Limit History before modifying or removing a restriction.
Keep company restrictions enabled if your team needs non-poach or client-protection enforcement across related candidates and contacts.
