Matches Module

The Matches module gives you a centralized view of all candidates assigned to jobs across your ATS. Instead of opening each job individually to review its assigned candidates, you can now see every candidate-job match in one place.

This helps recruiters, account managers, and hiring teams quickly review pipeline activity, talent stages, ownership, job status, candidate details, and match progress across all jobs.


What Is a Match?

A Match is created when a candidate is assigned to a job.

The Matches module uses the same assignment data that already exists in the system. It does not create a separate record or duplicate candidate/job data. Each row in the Matches list represents one candidate assigned to one job.

For example:

Each of these rows is a match.


Why Use the Matches Module?

Previously, assigned candidates were mainly visible from inside a specific job. That works well when you are reviewing one job, but it becomes difficult when you need to monitor activity across many jobs.

The Matches module solves this by giving you a global list of all candidate-job assignments.

Key Benefits

1. View all assigned candidates in one place

You no longer need to open jobs one by one to see which candidates are assigned. The Matches module gives you a complete cross-job view.

2. Track hiring stage progress faster

You can quickly see each candidate’s current talent stage, such as Screening, Submitted, Interview Scheduled, Offered, or Hired.

3. Review ownership clearly

The list shows important ownership fields such as:

  • Match Owner
  • Candidate Owner
  • Job Owner

This makes it easier to understand who is responsible for each part of the hiring workflow.

4. Monitor job and candidate context together

Each match includes candidate information, job information, organization details, job status, source, skills, notice period, salary details, resume, and more.

5. Search and filter across all matches

Advanced Search allows you to filter matches by visible fields, including owners, job status, talent stage, source, skills, salary, location, and dates.

6. Customize your list view

You can use Edit Columns to choose which fields you want to display. Important columns such as Candidate, Job, and Talent Stage always remain visible.


Where to Find Matches

The Matches module appears in the left sidebar below Jobs.

The ATS section is visually grouped so Candidates, Jobs, and Matches are together.

Click Matches to open the Matches list.


Matches List Overview

The Matches list displays candidate-job assignment records across all jobs.

By default, the list includes important fields such as:

  • Candidate
  • Job
  • Talent Stage
  • AI Score
  • Organization
  • Match Owner
  • Stage Date
  • Added On
  • Last Updated
  • Job Status
  • Candidate Owner
  • Job Owner

Additional fields can be added using Edit Columns.


Important Columns

Candidate

Displays the candidate name. Clicking the candidate opens the candidate detail page.

Job

Displays the job name. Clicking the job opens the job detail page.

Talent Stage

Shows the current hiring/talent stage for the candidate in that job.

AI Score

Displays the AI match score when available.

Organization

Shows the organization/client linked to the job.

Primary Contact

Displays the job’s primary contact. Clicking the contact opens the contact detail page. If no primary contact is available, the field displays N/A.

Match Owner

The user responsible for the match/assignment.

Candidate Owner

The owner of the candidate record.

Job Owner

The owner of the job record.

Job Status

Shows the current job status, such as Open, Won, Lost, or other configured statuses.

Resume

If a resume is available, clicking the resume icon opens the file viewer.

Comment

Displays match-related comments. Since comments may contain formatted HTML, they open using the same viewer style used for candidate descriptions.

Visibility

Displays whether the match is visible or not using a read-only switch.


Edit Columns

Use Edit Columns to customize which fields appear in the Matches list.

The following columns are always visible and fixed at the beginning of the table:

  1. Candidate
  2. Job
  3. Talent Stage

These columns cannot be removed or reordered below other fields.

Other columns can be added, removed, or reordered based on your preference.

Column width changes are preserved separately from Edit Columns, so resizing a column will not be reset when you later update visible columns.


Advanced Search

The Matches module supports Advanced Search on visible searchable fields.

You can filter matches using fields such as:

  • Candidate
  • Job
  • Talent Stage
  • Match Owner
  • Candidate Owner
  • Job Owner
  • Job Status
  • Organization
  • Source
  • Skills
  • City
  • State
  • Country
  • Experience
  • Notice Period
  • Current Salary
  • Expected Salary
  • Available From
  • Resume
  • Visibility

Owner Filters

For the following fields, the filter value shows the account user list:

  • Match Owner
  • Candidate Owner
  • Job Owner

Job Status Filter

For Job Status, the filter value shows the configured Job Status list.


Permissions and Access

Matches follow the same access control rules as Candidates and Jobs.

To view Matches, a user must have permission to view both:

  • Candidates
  • Jobs

If a user has owned-only access, the Matches list is filtered accordingly:

  • Candidate owned-only access filters by Candidate Owner.
  • Job owned-only access filters by Job Owner.

This ensures users only see matches they are allowed to access.


Common Use Cases

Review all active candidate-job assignments

Recruiters can open Matches to see all candidates currently assigned to jobs without navigating job by job.

Track candidates by talent stage

Use Advanced Search to filter by Talent Stage and find candidates in stages such as Submitted, Interview, Offered, or Hired.

Find matches owned by a specific recruiter

Filter by Match Owner, Candidate Owner, or Job Owner to review workload and ownership.

Review job pipeline health

Filter by Job Status and Talent Stage to understand which open jobs have candidates progressing through the funnel.

Check candidate readiness

Add fields such as Notice Period, Current Salary, Expected Salary, Source, Skills, and Resume to review candidate fit quickly.


Notes

  • Matches are based on existing candidate-job assignment data.
  • No separate Matches table is created.
  • The module uses the assigned candidate/talent funnel data already available in the system.
  • The Matches list is designed as a global version of the assigned candidates list available inside a single job.
